    Vacancy –HR Assistant of Asian Infrastructure Investment Bank (AIIB)

    AIIB would like to select suitable candidates to fill the position of HR Assistant. Monthly salary (before tax and social security insurance deduction) will be between RMB 12,000 and 17,000 yuan which is based on the competencies and skills demonstrated by applicants in the interview and experiences.

    Section 2 – Purpose of Job
    The Asian Infrastructure Investment Bank (AIIB) is a multilateral development bank whose mission is financing the Infrastructure for Tomorrow—infrastructure with sustainability at its core. We began operations in Beijing in January 2016 and have since grown to 106 approved members worldwide. We are capitalized at USD100 billion and AAA rated by the major international credit rating agencies. Collaborating with partners, AIIB meets clients’ needs by unlocking new capital and investing in infrastructure that is green, technology-enabled and promotes regional connectivity.

    The HR Assistant, Talent Acquisition will provide full spectrum of daily operations and administrative support the Talent Acquisition team, including but not limited to recruitment, logistics, budgeting and data and management information analytics, etc.


    Section 3 – Accountabilities & Responsibilities

    Key responsibilities include but are not limited to:

    Support recruitment process & procedures including interview logistics (schedule interviews, arrange in-person interview logistics, etc.), providing support to do the sourcing on LinkedIn, maintaining AIIB LinkedIn Career page, arranging assessment, etc.
    Assist in the maintenance of HRIS; Collect data from various sources and assemble data in various tools, models and systems employed by TA.
    Analyse data using structure queries, pivot tables, report tables, charts, graphs and diagrams, using analytical software; use tools to set up and maintain reports.
    Data entry into and maintenance of the HR information systems; support HRD's initiative to improve data accuracy in systems; ensure data integrity and conduct periodic analysis.
    Prepare periodic reports including headcount, recruitment, turnover, organization charts and other key metrics to drive organizational effectiveness; present analysis results in a clear and concise manner (including report designs).
    Support Talent Acquisition team on the coordination of virtual and physical outreach events, including oversight of budgetary impact.
    Manage the distribution and collection of online tests administered as part of the talent attraction process.
    Management of the Talent Acquisition inbox.
    Oversight of all administrative aspects of the relationship management of outsourced service providers including contract management, renewals, and collaboration with procurement
    Responsible for posting job advertisements on internal and external platforms.
    Administrative responsibility for relevant document preparation (drafting memos, formatting of Job Descriptions etc.)
    Arrange in-person interview logistics, act as a liaison between the Bank and the applicant.
    Manage professional(s)’ schedule, and maintain up-to-date files and records of all correspondence and documentation related to the office/department that the assistant is working for; liaise with internal staff, receive and interact with incoming visitors; draft the meeting minutes, office correspondence, etc.
    Ensure the timely and smooth implementation of logistics surrounding key tasks in the department including coordinating travel schedule, preparing all travel documents including travel memo, budget and expenses or any payment claims, etc.
    Support the administration of the office budget.
    Support ad hoc projects and perform other duties as assigned in an independent manner.
    Champion candidate experience.

    Section 4 – Knowledge, Skills, Experience & Qualifications
    Bachelor’s degree or above in human resources, economics, international relationships, communications and other related fields from a reputable university.
    Minimum 1-2 years of relevant administrative support experience in an international / financial institution.
    Experience in a multicultural organization would be advantageous.
    Strong communication skills both written and verbal in English are essential.
    Good interpersonal, diplomatic, and organizational skills.
    High attention to details and sense of priority.
    Ability to juggle multiple priorities at the same time.
    Independent, able to work under pressure and meet deadlines.
    Energetic and enthusiastic with can do attitude.
    Strong customer mindset to ensure optimal service delivery.
    High level of integrity and trustworthiness are key.
