The Workspace Management Assistant’s primary focus will be on coordinating and implementing workspace-related projects and daily activities. The post works in the Administrative and Facility Division of Facilities and Administration Services Department and reports directly to the Senior Workspace Management Officer. The Administrative and Facility Division provide comprehensive corporate services covering administrative services, workspace management, building facility services, sustainability, settle down and travel services, insurance etc.
Accountabilities & Responsibilities:
1.Project Management
Assist the Workspace Management Officers in project management of space renovation, refurbishment, remodeling, or fitting-out throughout the entire project cycle.
Collaborate with the Facility Management team or other contractors on minor projects to ensure timely completion and adherence to bank requirements.
2.Space Coordination
Support space management including allocation and occupancy data maintenance.
Coordinate moves and reconfigurations based on approvals and business needs.
Provide space information and promptly respond to inquiries and requests.
3.Furniture Support
Assist in addressing and initiating procurement- to pay for furniture requests from business needs upon approval.
Track furniture requests in the digital platform.
Support annual furniture inventory and audits.
4.Contract Management
Assist in the space-related contracts and lease agreements from request to implementation.
Maintain contract or lease status in the system and track key milestones of project delivery.
Facilitate timely payment per agreement terms, liaising with contractual parties and internal teams as necessary.
5.Budget and Finance
Support in budget development and regularly monitor the utilization of project budgets in accordance with established procedures.
Respond to regular finance data requests, including down pay, accrual, capitalization, leases, etc.
6.Communication and Liaison
Coordinate project meetings, prepare agendas, and distribute meeting minutes, briefings, newsletters, communication updates, etc. upon approval to ensure effective communication.
Utilize internal communication channels to facilitate timely dissemination of workspace-related information.
Maintain workspace portals and information platforms to ensure timely and adequate information sharing with relevant users and stakeholders.
7.Filing and Archiving
Organize and archive all project files and data as required. Transfer documents to the RIM team on a needed basis.
8.Others
Undertake any other tasks assigned by the Sr. Workspace Management Officer to support the team objectives.
任职资格:
Qualification Requirements:
1.Minimum bachelor's degree. Knowledge in relevant fields such as building engineering, project management, or facilities management are preferred.
2.1-3 years’ experience in facility management, project management or workspace management in a multinational corporations or organizations.
3.Strong organizational and time management skills. Excellent communication and interpersonal skills.
4.Accreditations and certifications in relevant field are preferred, such as the Project Management Professional (PMP) certification, Certified Facility Manager (CFM), LEED professionals.
