The HR Department (HRD) is currently seeking an Admin Assistant to provide comprehensive administrative support to the Director General of the HR Department (DG, HRD) and facilitate coordination with various functional teams within HRD and across AIIB. Key responsibilities include, but are not limited to:
Managing DG’s calendar to ensure efficient scheduling of meetings, travel, and events.
Acting as the central administrative liaison between the DG and different HR Department teams, to facilitate collaboration and provide administrative assistance and logistical support for cross-team initiatives.
Coordinating with other departments and high-level external contacts, and efficiently managing a range of administrative tasks to ensure the smooth functioning of the office.
Acting as first contact point for incoming and outgoing communication, including calls, emails, and other correspondence.
Supporting the timely communication of information.
Engaging in tasks relating to document preparation and archiving, , including the compilation of presentation materials, drafting basic correspondence, organizing background information for appointments, formatting documents and conducting basic data analysis.
Supporting logistical arrangements for meetings, domestic and international travel, and events.
Providing administrative support for HR initiatives and facilitating the coordination of HR activities.
Other assignments as assigned by the supervisors.
任职资格:
Requirements
A bachelor’s degree or above in public administration, human resources, economics, international relations, communications and other related fields from a reputable university.
A minimum of 2-3 years of relevant administrative support in an international organization or financial institution, prior experience supporting a senior official/manager is a strong plus.
Fast learner, able to adapt to change and team player.
Strong problem-solving and organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and meet deadlines in a fast-paced environment.
Proven experience of working with senior stakeholders. Strong interpersonal and diplomatic skills, a high level of personal integrity and a sense of accountability, proven ability to handle confidential information with discretion.
Experience of working in a multicultural environment with a diverse workforce will be a plus. Knowledge of Human Resources or prior experience working in HR areas is advantageous.
Excellent written and verbal communication skills in English.
Proven experience with MS Office Applications is a must. Good knowledge of other widely used IT systems is advantageous.
