Terms of Reference
Position: Administrative Assistant (Temporary) – Board Operations Support
Department: Corporate Secretariat
Duration: Temporary (as applicable)
Reporting Line: Corporate Secretariat (Board Operations)
The Temporary Administrative Assistant will provide administrative, coordination, and logistical support to the Corporate Secretariat, with a primary focus on supporting Board meetings, Boardrelated documentation, and bilateral meetings, particularly during virtual and physical Board meetings. The role is executionoriented and aims to ensure smooth, timely, and wellcoordinated Board processes.
Key Responsibilities
1. Administrative & Document Support
Provide administrative support for the circulation, filing, and tracking of Board and Committee documents, including IC Disclosure Requests.
Assist in maintaining orderly electronic records and document archiving to ensure easy retrieval of materials for Board review and reference.
Support version control and ensure documents are properly labeled, filed, and uploaded to relevant systems (e.g. Board Portal).
Assist in compiling meeting materials and document packs for Board meetings, briefings, and bilaterals.
2. Logistics for Board Meetings (Virtual and Physical)
Support logistical arrangements for virtual and physical Board meetings, including:
oDrafting and circulating meeting notices and agendas, as instructed
oCoordinating document availability ahead of meetings
oSupporting room bookings, schedules, and basic logistical arrangements
Provide administrative and logistical support during meetings to ensure smooth execution.
Assist with participant coordination and attendance tracking.
3. Support for Bilateral Meetings
Provide dedicated administrative and coordination support for bilateral meetings, particularly during physical Board meetings, including:
oTracking bilateral meeting requests and confirmations
oCoordinating schedules, venues/meeting rooms, and participant lists
oLiaising with internal teams to ensure background materials and documents are prepared and available
oSupporting onsite logistics during physical meetings, as required
Assist with postmeeting administrative followup, including tracking action items where requested.
4. Coordination with Internal Stakeholders
Liaise with relevant Business Units and internal support teams to gather materials and confirmations needed for Boardrelated engagements.
Coordinate attendance of internal participants for Board meetings, briefings, and bilateral sessions.
Serve as an administrative point of contact to ensure information flows smoothly across teams.
5. Basic Technical & Systems Support
Assist with logistical and basic technical setup for virtual meetings (e.g. Zoom links, access coordination).
Ensure meeting participants have access to required documents and communication channels.
Provide basic troubleshooting support during meetings, escalating issues as needed.
6. Records Management & Filing
Support the classification, tagging, and filing of Board and meetingrelated documents.
Assist in maintaining structured records of meetings and related correspondence for Secretariat use.

Candidate Requirements
Bachelor’s degree in business administration, public administration, international relations, or a related field.
Strong organizational skills and attention to detail.
Proven experience in administrative, coordination, or logistics support roles.
Ability to manage multiple tasks and deadlines, particularly in a process and meeting intensive environment.
Good communication and coordination skills.
Comfortable working with document management systems and virtual meeting platforms.
Ability to work flexibly during peak periods, including physical and/or virtual Board meetings.
