    Risk and Corporate IT Solutions team, consists of Project Managers and Business Analysts , is part of AIIB’s IT Department (ITD) and is responsible for managing bank-wide business applications’ design, implementation, enhancement, and business-as-usual support. To support the continuous development of the Bank’s business, AIIB’s IT landscape and applications are growing rapidly with increased needs for additional manpower with relevant knowledge and experiences to support the team.

    ITD is committed to enable business-led, technology-enabled transformation to better support the AIIB’s evolving business and build a stronger business partnership among all corporate departments. The key responsibility of the Administrative Assistant is to provide necessary support to the Risk and Corporate IT Solutions team within ITD with complete administrative services among IT technical staff and external business customers, including secretarial services, administrative management and coordination, liaison with internal & external contacts, general data analysis and basic research work etc.

    Specific Responsibilities include but are not limited to:

    -Maintain and organize team documentation, schedules, and records (e.g., SharePoint and Teams), ensuring information is up to date and accessible.
    -Provide documentation and coordination support to both Project Managers and Business Analysts, including preparing meeting minutes, maintaining tracking logs, and compiling reports.
    -Provide administrative support to Project Managers, including meeting coordination, tracking action items, maintaining team’s task management updates using online tools (e.g., SharePoint, Teams, ServiceNow and etc.) and supporting vendor communication and documentation.
    -Responsible for physical and digital filing and maintaining documentation in accurate and clear manner following the bank’s filing requirements with good knowledge of information management and best practices.
    -Provide logistical support for meetings, workshops, and events, including scheduling, participant coordination, preparing custom designed communication materials, and recording/distributing minutes.
    -Liaise with internal staff, receive and interact with incoming visitors. Proofread and distribute general correspondence. Maintain office coordination and resolve any issues and inquiries.
    -Support bank-wide IT solutions with access and subscription requests, facilitate request clarification, alignment, documentation, approval and whole life cycle management.
    -Handle all incoming and outgoing calls, faxes and email transmissions and coordination of appointments; Draft and prepare office memos, letters, meeting minutes, reports and other correspondence as instructed.
    -Any other tasks that may be assigned from time to time by the supervisor(s)

    Candidate Requirements

    -Bachelor’s degree or above in related fields from a reputable university, experience working in IT sector can be a plus.
    -Minimum 1 year of relevant administrative support experience in the international/financial institution, IT department support experience is preferred.
    -Proficient in both English and Chinese.
    -Excellence in written and spoken English is required.
    -Must be able to create clear, concise, and user-friendly documentation, with a good working knowledge of general IT terminology. Must be able to brainstorm with others, thrive in a collaborative team environment, multi-task, and quickly adapt to change.
    -Strong problem-solving and analytical skills, with the ability to work effectively using commonly used office tools. Strong interpersonal communication skills both verbal and written.
    -Self-motivated and detail-oriented; able to work under pressure and meet deadlines.
    -Proven experience with Microsoft SharePoint and Power Platforms, Teams, Office365 Applications.
