Purpose of Job:
The Asian Infrastructure Investment Bank (AIIB) is a multilateral development bank whose mission is financing the Infrastructure for Tomorrow—infrastructure with sustainability at its core. The Corporate Secretariat is a focal point for communications among the Board of Directors, AIIB's management team and its shareholders. It also plays a vital role in monitoring corporate governance developments, ensuring alignment with the needs and expectations of AIIB's shareholders. With a range of responsibilities, the office is primarily tasked with planning and organizing various significant events, including but not limited to Annual Meetings and Board-related meetings. Additionally, the Corporate Secretariat manages the process for the election and appointment of key positions such as the President, Vice Presidents and Board members, and also manages the admission process for new shareholders to AIIB.
The Engagement and Events Unit within the Shareholder Relations and Governance Team of AIIB Corporate Secretariat is dedicated to the planning and coordination of various corporate events, including but not limited to Annual Meetings of the Board of Governors, New Year Receptions, and facilitating the project visits and Member visits of its Board of Directors.
The position is to support the organization of the Annual Meeting of the Board of Governors, official visits of the Board of Directors, and other engagement events in service to the high-standard governance of AIIB.
Accountabilities & Responsibilities:
• Support SEC events management operations including planning, coordination and implementation of corporate events. Participate as a core team member for the organization of AIIB's Annual Meetings.
• Manage communication channels, coordinate schedules, and facilitate collaborative tasks.
• Draft meeting agenda, manage meeting invites and logistics, and compose the minutes as needed.
• Plan, develop and manage timelines based on event logistics and program needs and create trackers to monitor the progress.
• Assist in the event budgeting, corporate procurement and contract management, reconciliation and payment process as required.
• Assist in managing registration, travel, accommodation and other technical or logistical preparations for Annual Meetings and other corporate events.
• Assist in the recruitment, training, and administration of Annual Meeting volunteers.
• Coordinate with external service providers to ensure timely delivery of event-related services and compliance with agreed requirements.
• Conduct post-event evaluations to assess outcomes and compile reports for continuous improvement and institutional memory.
• Maintain up-to-date archives and databases of event documents, working files, contracts, etc.
• Such other related work as assigned.
任职资格:
Knowledge, Skills, Experience & Qualifications:
Educational Background:
A Bachelor's degree or above in a related field from a reputable university is required. Certification in events management would be a plus.
Experience:
• Proven experience in event coordination or management would be preferred.
Skills:
• Strong verbal and written communication skills in English
• Proficiency in MS Office Suite, SharePoint, SAP Concur etc.
• Strong commitment and attention to details
• Strong teamwork spirit
• Ability to think proactively and creatively
• Experience with international or financial institution(s) a plus.
