The Asian Infrastructure Investment Bank (AIIB) is a multilateral development bank whose mission is financing the Infrastructure for Tomorrow—with sustainability at its core. The HR Department (HRD) is currently seeking a Senior Admin Assistant to provide comprehensive administrative support to the Director General of the HR Department (DG HRD) and facilitate coordination with various functional teams within HRD and across AIIB.
Key responsibilities include, but are not limited to:
• Administrative support:
o Provide DG HRD support for day-to-day tasks.
o Manage DG HRD’s calendar and coordinate logistics for their meetings, events, and activities, and act as focal point for them.
o Coordinate requests and logistics related to travel, activities, meetings, and events.
o Coordinate where needed activities across HRD and across other departments and external parties and provide logistical support.
o Other admin support as required.
• Documentation and reporting:
o Prepare and maintain key documentation required and used by DG HRD (e.g. documents, reports, and presentations) and ensure their delivery in a timely and proactive way.
o Ensure accuracy, compliance, and confidentiality of HR files and information. Provide reviews, where needed, and basic data analysis.
o Organize and maintain electronic and physical HR files following established information management guidelines, maintaining confidentiality.
• Communication and correspondence:
o Act as first point to help coordinate DG HRD related queries and redirect as necessary.
o Ensure high quality of communications and correspondence internally and externally.
• Front Office Project coordination:
o Coordinate tasks and projects within the Front office and support HR Project Management in coordinating relevant tasks, as agreed.
o Ensure agreed timelines are met and escalate to DG HRD where needed.
o Help arrange and run department-level events and gatherings, and related activities.
• Collaboration and relationship management:
o Collaborate with HRD and other assistants of the Bank to provide efficient service.
o Collaborate with internal and external stakeholders and vendors to help deliver meetings, events and projects.

Requirements
• A bachelor’s degree or above in public administration, human resources, economics, international relations, communications and other related fields from a reputable university.
• A minimum of 5 years of relevant administrative support in an international organization or financial institution. Prior experience supporting a senior official/manager is a strong plus.
• Fast learner, able to adapt to change and team player.
• Organized, proactive and willing to learn.
• Strong problem-solving and organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail and meet deadlines in a fast-paced environment.
• Proven experience of working with senior stakeholders. Strong interpersonal and diplomatic skills, a high level of personal integrity and a sense of accountability, proven ability to handle confidential information with discretion.
• Experience of working in a multicultural environment with a diverse workforce will be a plus. Knowledge of Human Resources or prior experience working in HR areas is advantageous.
• Excellent written and verbal communication skills in English and Chinese
• Proven experience with MS Office applications including Microsoft Copilot or other similar AI tools is a must. Good knowledge of other widely used IT systems is advantageous.
