    工作职责:

    Title: Admin Assistant
    Job Type: Outsourced
    Department: ITD - Information Technology Department
    Work Hours: 9:00 AM - 18:00 PM, Monday to Friday, Full-time
    Location: Beijing, Chaoyang
    Closing Date: September 24, 2026
    Monthly Salary (before tax and social security insurance deduction) will be between: CNY 11000 - 15000

    The Asian Infrastructure Investment Bank (AIIB) has the mandate to foster economic growth in Asia by investing in infrastructure and other productive areas and promoting regional cooperation and partnership.
    This Administrative Assistant position coordinates departmental administration and provides day-to-day secretarial and logistical support to the Director General, IT managers and departmental teams. The responsibilities include meetings, records, travel, procurement and budget administration, staffing logistics, and liaison with internal and external contacts, but the role has no technical, procurement approval or budget authority unless formally delegated.

    Specific Responsibilities include but are not limited to:

    1. Departmental administration and management support
    • Assist with departmental, management and stakeholder meeting/activities arrangements, including calendar management, invitations, agendas, rooms or virtual access, materials and basic follow-up.
    • Help prepare routine correspondence, presentations, meeting records and administrative documents for review and clearance.
    • Handle sensitive information and communications with basic judgment, discretion and strict confidentiality.
    • Coordinate the work of other assistants, temporary support personnel or administrative service providers when assigned, and provide guidance on priorities and standards.
    2. Procurement, contract and vendor administration
    • Assist with routine IT procurement and contract administration by preparing and maintaining related documents and coordinating with relevant sides on documentation and workflow requirements, under the direction of the accountable procurement or contract owner.
    • Assist with documentation and arrangements for vendor meetings, onboarding, access and communications, under the guidance of responsible staff.
    3. Budget and expense administration
    • Assist with departmental budget administration by gathering inputs, updating trackers and following up on required actions.
    • Assist responsible managers to monitor administrative expenditure records.
    • Assist with payments and expense claims, and other routine financial administration in line with Bank procedures and delegated authorities.
    4. Staffing, onboarding and workplace support
    • Coordinate with the HR/FAS or other relevant sides to assist in recruitment, on/offboarding, internal moves for ITD colleagues from the business side, including induction schedules, workspace, access, equipment, etc. Maintain up-to-date team workplace records and contact lists.
    • Coordinate workplace, facility and equipment requests with the relevant service teams and follow through to resolution.
    5. Missions, events and external engagement
    • Assist with travel and mission arrangements, such as schedules, approvals, visas, accommodation, transportation and expense documentation.
    • Provide logistical and hospitality support for departmental and external events and for visiting delegations, ensuring professional experience for internal and external stakeholders.
    6. Records, knowledge and compliance
    • Maintain departmental files and records in approved repositories and support periodic reviews of them to help keep information accurate and aligned with Bank procedures.
    • Update and share useful administrative information, templates and lessons learned to the IT teams.
    • Support administrative aspects of business continuity, help with emergency contact arrangements and departmental readiness activities when required.

    Candidate Requirements:
    • A bachelor's degree, or an equivalent combination of education and relevant professional experience in business administration, management, finance, communications or a related field.
    • Minimum one year of relevant experience in executive, departmental or team administration, preferably in an international organization, financial institution or technology-intensive environment.
    • Good interpersonal and organizational skills, with the ability to manage multiple tasks and meet deadlines.
    • Self-motivated, service-oriented and detail-conscious, with willingness to learn and work collaboratively.
    • Able to handle confidential and sensitive information.
    • Advanced proficiency in Microsoft 365 or comparable productivity tools, including Outlook, Word, PowerPoint, Excel, Teams and shared document repositories. Experience with enterprise workflow or ERP systems is an advantage
    • Good verbal and written English.
